Job Description
Under general supervision, the Event Service Supervisor performs administrative and supervisory functions to ensure proper setup, smooth event operation and tear down.
Employee serves as the principal client contact for all service delivery.
Job Responsibilities
1.
Supervises at least two (2) event coordinators.
2.
Ascertains client requirements for physical setup, security, ticketing, etc.
3.
Communicates client requirements to appropriate departments.
4.
Provides work orders for operations, contractors, etc.
to assure requirements are addressed and met.
5.
Provides clients with updates and progress on all service delivery.
6.
Prepares cost estimates and monitors final event billing.
7.
Initiates required paperwork for all additional service cost.
8.
Provides guidance and supervision to service staff during events.
9.
Acts as "point person" for outside promoters.
10.
Assists the Manager of Sales & Events Services in other related administrative work as needed.
11.
All other duties/responsibilities as assigned.
Knowledge, Skills and Abilities
Minimum Requirements - 1.
Job requires a Bachelor's Degree from an accredited college or university with a major in business or related field.
The City may consider eight (8) years of related work-experience, or six (6) years of related work experience and at least two (2) years of post high school education in lieu of a Bachelor's Degree.
2.
This position requires three (3) years of related work experience in events management, public relations, promotions, hospitality, tourism, business, or communications and one (1) year of work experience as a supervisor.
4.
Job requires a current, valid Texas Class C driver's license.
5.
Must have strong computer skills in Microsoft Excel, Word and Outlook.
6.
Must be customer-service oriented, have a customer friendly attitude and professional appearance at all times.
7.
Must be capable of working in a fast-paced environment.
8.
Must be able to effectively manage and supervise staff.
9.
Must be capable of working with promoters, internal department, and staff.
10.
Must be able to work effectively under pressure and stringent schedules.
11.
Must be able to establish and obtain operating goals and objectives for unit.
12.
Must be able to disseminate information through concise report preparation.
13.
Must be able to communicate effectively, at all levels, both orally and in writing.
Additional Information
1.
This is a safety sensitive position subject to random drug and alcohol testing.
2.
This position contains supervisory responsibilities.
3.
Must be available to work evenings, weekends and holidays based on office and event demands.
