7275 hourly - Position Type: Full-Time Status: Open Until Filled Job Description Under general supervision, the Administrative Supervisor provides administrative support for the daily operations of the department and coordinating support of the workers compensation and property & casualty programs.
Employee assists the Director with daily office activities.
This office administration position requires good organizational skills, multi-tasking, knowledge of computers and general office equipment and the ability to learn new departmental software and procedures.
Employee supervises and coordinates the work of department clerical employees, handles confidential information and maintains contact with all levels of City employees and departments.
Job requires professional conduct, mature judgment and proven ability to handle confidential and sensitive issues.
Job Responsibilities 1.
Supervises and schedules daily office work activities of department clerical staff ensuring priority and efficient task completion.
2.
Reviews workers compensation claim submissions, oversees the generating of worker’s compensation required notices and forms to departments and state entities.
Collects data and prepares reports for workers compensation program.
3.
Reviews property & casualty claim submissions, oversees the completion of required notices and forms to departments.
Collects data and prepares reports for property & casualty program.
4.
Administers the department’s retention of records and destruction of personnel records in accordance with City policy and Procedures.
5.
Attends department sponsored meetings and events and assists with recording and documentation.
6.
Processes and distributes mail, assures that office supplies are stocked regularly and schedules routine maintenance of office hardware.
7.
Processes requisitions, vouchers, processes Kronos reports and attendance requirements to payroll.
8.
Generating reports for loss programs, payroll completion duties and participation in our safety officer panel meetings.
9.
Performs other work related work activities and projects as assigned by the Director.
Knowledge, Skills and Abilities Minimum Requirements - 1.
Job requires an accredited high school diploma or GED equivalent and at least one (1) year of post high school education or training from a community college, technical training (24 passing college credit hours) or equivalent.
2.
Job requires five (5) years of related work experience.
3.
Job requires a current, valid Texas Class C driver's license.
4.
Employee must be able to work well under stress, be able to handle multiple tasks despite interruptions and maintain efficiency and productivity.
5.
Due to the level of management assistance which this position reports, professional office attire, professional conduct, responsible judgment and the proven ability to handle confidential, sensitive and highly volatile situations is essential.
6.
Must be able to effectively communicate in English.
Bilingual in English and Spanish is preferred.
7.
Must be able to use general office equipment.
Physical Requirements 1.
Job generally requires light to medium physical effort, which involves sitting, standing, walking, bending, reaching in an office environment free of environmental or other hazards 2.
Job physical demands include 10-25 pounds on a frequent basis and up to 50 pounds on an occasional basis for lifting file boxes, pushing or pulling dolly with supplies and/or other materials.

This position has supervisory responsibilities over clerical positions.

This is a safety sensitive position subject to random drug and alcohol testing.

This position requires some driving.
