*Position Overview:*
We are seeking a highly organized and professional Personal/Administrative Assistant to support a busy transactional Real Estate Lawyer.
The successful candidate will be responsible for managing day-to-day administrative tasks, ensuring smooth operations within the office, and assisting in the preparation and drafting of legal documents.
This role requires excellent oral and written communication skills, attention to detail, and the ability to work independently in a fast-paced environment.
*Key Responsibilities:*
* Manage and organize the lawyer’s calendar, including scheduling appointments, court dates, and meetings.
* Handle communication, including promptly responding to calls and emails, as well as composing professional correspondence, letters and documentation.
* Prepare and draft legal documents such as contracts, deeds, and leases under the lawyer’s supervision.
* Maintain and organize files, both electronic and paper, ensuring all legal documents are up-to-date and readily accessible.
* Act as a point of contact among clients, real estate agents, lenders, and other involved parties.
* Assist in the preparation for closings and client consultations.
* Execute various administrative duties, including data entry, copying, scanning, and maintaining records.
*Requirements:*
* Proven experience as a Personal Assistant, Administrative Assistant, Legal Assistant, or a similar role, preferably within a legal environment.
* Exceptional oral and written communication skills.
* Strong proficiency in MS Office (Word, Outlook, Excel) and the ability to learn new software quickly.
* Knowledge of legal terminology and experience in drafting legal documents.
* Excellent organizational skills and the ability to multitask effectively.
* Strict adherence to confidentiality guidelines.
* A proactive approach to problem-solving with strong decision-making skills.
