Pan American Auto LLC is a locally owned mechanic shop that is constantly growing and expanding services throughout the Rio Grande Valley, and as we grow the need of a helping hand is also required, that is why we are currently seeking a reliable secretary who is concerned with meeting the customer satisfaction throughout the everyday operations of our company.
The secretary will be under the supervision of the general manager assisting him in habitual office work.
Candidates should be willing to work with a “team” mindset to ensure that customers are efficiently receiving the customer support our company has been known for.
*Secretary Position - Responsibilities include but are not limited to:*

) Have basic knowledge of QuickBooks System.
2.
) Enhances effectiveness by providing support to management.
3.
) Have impeccable customer service and communication skills.
4.
) Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
5.
) Answering phone calls, take messages and distribute them to the pertaining department.
6.
) Return missed/or follow up calls pertaining to a customer’s questions or concerns.
7.
) Organizes work by reading and routing correspondence and collecting information.
8.
) Issue out checks to vendors using QuickBooks System.
9.
) Maintains customer confidence and protects operations by keeping information confidential.
10.
) Check correspondence and distribute mail to pertaining departments.
11.
) Issue payments of monthly bills to maintain daily operations.
12.
) Follow up on company e-mails.
13.
) Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
14.
) Must have knowledge using computers, emails, scanners, telephones, mobile devices, laptops, social media, and other technology equipment to be up to date with innovating software’s.
15.
) Keeps equipment operational by following manufacturer instructions and established procedures.
16.
) Secures information by completing database backups and have supporting documentation.
17.
) Maintain record of everyday operations.
18.
) Some online marketing might be needed from time to time.
*Secretary Position - Requirements:*
1.
) Extremely punctual and on time.
2.
) High school diploma or equivalent.
3.
) Valid driver's license issued by the state, with a clean driving record.
4.
) Reliable transportation to and from work.
5.
) Experience of at least 3 years preferred, but work history will be taken into consideration.
6.
) Strong time management and customer service skills.
7.
) Ability to lift and carry up to 30lbs sometimes.
8.
) Attention to detail.
9.
) Must abide by the company policies in place.
10.
) Bilingual in English and Spanish (read, write, and communicate).
