Job Summary
Under the supervision of the Area Director, the Practice Administrator will oversee the effective, efficient, and safe management of the medical practice, ensuring the well-being of patients, providers, staff and visitors.
The Practice Administrator will be responsible for leading and managing areas such as team development, P & L management, clinical and business metrics accomplishment, and cultural/core values.
The Practice Administrator will also work hand-in-hand with the Director of MRA Coding, Director of Revenue Cycle and Case Management to support best in-class programs for Medicare Advantage/FFS Billing ad Coding.
Job Responsibilities
Provide daily leadership, guidance and support to all management and staff
Standardize operational processes across the MyCare platform to ensure best practices are up to industry standards and company’s mission
Oversee the management of office budget, office expenditures, and staff overtime
Manage accountability for key performance indicators (KPIs) and prepare office management reports.
Reports include, but are not limited to, patient lists, provider panels, profit and loss, budget, utilization, quality measures, STARS/HEDIS, etc.
Conduct monthly metric reviews of hospital admissions, readmissions, medical expenses related to patient care, membership growth, financial performance, quality of care, and patient experience
Manage the performance of individual practices to maximize Medicare Advantage and the PMPM surplus
Implement procedures to improve office performance (i.
e.
, minimize patient cancelations, minimize staff turnover, decrease utilization, etc.
).
Partner with providers and managers to maintain orderly and efficient workflows in the office
Implement daily huddles to discuss daily schedules, patient metrics, office performance, successes, recognition, and other areas of opportunity
Holds regular coaching sessions and annual performance reviews with direct reports
Responsible for implementing procedures to achieve performance goals including, but not limited to, 90% fulfillment of all office operational objectives
Preserve company’s positions on Medicare Advantage, office management, business model, compliance, communication, and technology
Implement and support new patient processes with cross-functional teams, including office touring, patient portal registration, management of new patient paperwork, and coordination of medical referrals from the medical office
Monitor Office managers accountability for staff’s hiring, scheduling and timesheets for payroll and all HR duties
Ensure management of all patient/caretaker complaints and concerns
Escalate practice issues and concerns timely and appropriately as necessary including provider, staff, and patient concerns
Determine and justify needs for systems, equipment, and capital purchases
Ensure practice readiness for regulatory visits.
Address and respond to site inspections, audits, and surveys including OSHA, CLIA, and program assessment
Collaborate with management on practice emergency response processes
Maintain client and employee privacy in accordance with MyCare policy and HIPPA regulations
Attend/lead required trainings and meetings
Maintain a positive atmosphere and working environment.
Effectively monitor morale and create a dynamic patient-centric and servant culture
Delegate and assign tasks as necessary
Job Qualifications:
Bachelor's degree required; Master’s Degree preferred
Minimum of 3 years of progressive management experience
Administrative or managerial experience in leading operations in a medical setting
EHR experience required
Effective oral and written communication skills
Microsoft Office applications
Ability to handle multiple competing priorities simultaneously
Strong organizational skills
Ability to think independently and demonstrate good problem-solving skills
Ability to work in a team environment and to collaborate with a variety of internal and external contacts in a positive manner
Ability to develop successful relationships with providers and key partners
Experience with successful integrations of acquired practices a plus
Must have a minimum certification(s) of: CPR & BLS Certifications/Re-certifications, Certified Medical Assistant
