Job Description
Under general supervision and procedural control, Senior Administrative Clerk performs responsible and specialized clerical work to include data entry, preparing correspondence and other documents, maintaining electronic and manual file systems, answering phones, providing customer service, and assisting with clerical and administrative function.
Employee works with many different records and forms, receives and prepares information for further processing or record keeping.
Employee may provide limited administrative assistance to supervisor on some routine duties as assigned.
Employee must be able to handle various tasks despite numerous interruptions.
Courtesy, tact and diplomacy are required in daily contact with the public and staff.
Job Responsibilities
1.
Performs general and specialized office clerical work, such as computer word processing, data entry, and filing.
2.
Performs receptionist duties to include answering phones, routing calls, taking messages and providing general public information in a friendly professional manner.
3.
Performs customer service to internal and external customers using courtesy, tact and diplomacy.
4.
Performs specialized departmental duties, such as collecting statistical information and reviews, verifies, proofreads and corrects data, records and forms for assigned projects.
5.
Processes, distributes, and files information, records, forms, documents and other information.
6.
Maintains electronic and manual records; files accurately and in a timely manner.
7.
Acts as Liaison for Procurement Card and assists with reports related to p-card transactions.
8.
Prepares travel arrangement as directed and maintains records; secures transportation, hotel reservations/accommodations.
9.
Maintains a clean and orderly customer checkout area and office work area.
10.
Maintains and orders office supplies as needed.
11.
Responds to inquiries in a professional manner providing accurate public information about services.
12.
Performs other duties as assigned.
Knowledge, Skills and Abilities
Minimum Requirements: - 1.
Job requires an accredited high school diploma or GED equivalent and two (2) years of post-high school education from an accredited college or university.
The City will accept three (3) years of related work experience in lieu of post high school education.
2.
Job requires three (3) years of clerical or customer service work experience.
3.
Job requires a current, valid Texas Class C driver's license.
4.
Must be able to operate general office equipment.
Employee will be trained on departmental equipment as needed.
5.
Must be able to work with various software packages including, Microsoft Word, Excel, PowerPoint and other Microsoft Office Tools.
6.
Must be able to greet the public in a courteous manner using tact and diplomacy.
7.
Must be able to communicate effectively in English and Spanish.
Physical Requirements

Employee works in an office environment free of serious health hazards.
2.

1.
This is a safety sensitive position subject to random drug and alcohol testing.

This position does not have supervisory responsibilities.

Must be available to work during evenings, weekends, or during emergencies as needed.
