Job Description Under general supervision, the Passports Senior Administrative Clerk performs responsible and specialized clerical work to include cashiering, entering information into computer, using keyboard, preparing correspondence and other documents, copying, proofreading, maintaining electronic and manual file systems, answering phones, providing customer service, operating office equipment and assisting with clerical and administrative function.
Employee works with many different records or forms, receives and prepares information for further processing or record keeping.
Employee performs specialized departmental functions and customer services.
Employee may provide administrative assistance to supervisor on some routine duties as assigned, indirectly oversee office functions as assigned and may relieve supervisor on some routine duties as assigned.
Employee plans own work flow and must use some independent judgment in collecting and processing information.
Employee is responsible for prompt, accurate performance of most or all clerical and office functions.
Most decisions are guided by existing policies or regulations, but occasionally must use own judgment.
Job requires prompt, accurate performance of routine clerical, typing and data entry duties.
Employee must be able to work well under stress and be able to handle various tasks despite numerous interruptions.
Courtesy, tact and diplomacy are required in the daily contact with the public and staff.
Job Responsibilities 1.
Performs cashiering, customer service and office clerical functions.
2.
Answers customers' questions, provides information on procedures and resolves common customer concerns in a diplomatic manner.
3.
Performs general and specialized office clerical work such as computer word processing, data entry, and filing, copying and operating office equipment.
4.
Performs receptionist duties to include answering phones, routing calls, taking messages and providing general public information in a friendly professional manner that requires excellent customer service.
5.
Performs customer service professionally using courtesy, tact and diplomacy.
6.
Performs specialized departmental duties.
7.
Collects statistical or other information and reviews, verifies, proofreads and corrects data, records and forms.
8.
Processes, distributes, and files information, records, forms, documents and other information.
9.
Maintains a clean and orderly customer checkout area and office work area.
10.
Responds to inquiries in a professional manner providing accurate public information about services without disclosing confidential or unauthorized information.
11.
Answers customers' questions, provides information on procedures and resolves common customer concerns in a diplomatic manner.
12.
Performs other specialized departmental duties.
13.
Performs other related duties as required or necessary.
Knowledge, Skills and Abilities Minimum Requirements - 1.
Job requires an accredited high school diploma or GED equivalent.
2.
Job requires one (1) year of office clerical and customer service skills, training or work experience.
Prior cashiering experience preferred.
3.
Job requires a current, valid Texas Class C driver's license.
4.
Bilingual English/Spanish preferred.
5.
Must be able to meet the work schedule with some flexibility to work additional hours as dictated by workload.
6.
Must have good work ethic, have a positive attitude, and be customer service oriented.
7.
Must work well in a team setting, be dependable, punctual and have a good disposition and outlook.
8.
Must possess initiative and self-motivation.
9.
Must be able to work under pressure and handle multi-tasking.
10.
Must be able to type 30-40 wpm accurately.
11.
Must be able to use a computer and general office equipment such as copy machines, and calculators.
Employee will be trained on departmental equipment as needed.
12.
Must be able to greet the public in a courteous manner using tact and diplomacy.
13.
Must be able to deal with difficult customers in a professional and diplomatic manner.

Physical Requirements 1.
Employee works in air conditioned office with little hazards.
Additional Information 1.
This is a safety sensitive position subject to random alcohol and drug testing.
2.
Work may include working evening and/or occasional weekend hours.
3.
This position does not have direct supervisory responsibilities.
